How this timesheet calculator works

Enter the times you actually clocked in and out for each day and the calculator turns them into the two formats payroll systems ask for: hh:mm and decimal hours. Everything runs in your browser, so nothing is uploaded and you do not need an account.

  1. Enter start and end times

    Type a time in each box, in 12-hour or 24-hour format. If you split your day for lunch, use the second In/Out pair on the same row.

  2. Choose your unpaid break

    Pick the break length you are not paid for. It is deducted from every day that has hours entered — never deduct a paid break.

  3. Set overtime rules

    Hours over 8 in a day and hours over 40 in the week are treated as overtime, using whichever is larger so no hour is counted twice.

  4. Read your totals

    The summary shows Regular, Overtime and Total in both formats, plus gross pay if you enter your hourly rate.

  5. Export or print

Lunch breaks, rounding and overtime rules

In the United States, federal law counts overtime by the workweek: hours worked over 40 in one week must be paid at least 1.5 times the regular rate. Some states add daily overtime — California, for example, requires 1.5× after 8 hours in a day and 2× after 12 hours. If your state does not have daily rules, set Overtime to the weekly option or use the "after 8h/day & 40h/week" default, which never pays less than the weekly rule requires.

Unpaid meal breaks are typically 30 minutes or longer. Short rest breaks of around 20 minutes or less are normally paid and should not be deducted. If your employer rounds punch times to the nearest 5 or 15 minutes, select that option — but rounding must not consistently work against the employee.

Frequently asked questions

How do I convert hh:mm to decimal hours?
Divide the minutes by 60 — 7 hours 45 minutes is 7.75 hours. Both columns are shown for every day so you can copy whichever one your payroll system needs.
Does an unpaid lunch break get deducted from my hours?
Yes. Choose none, 30, 45 or 60 minutes and it is subtracted from each day that has hours entered. Only deduct breaks you are not paid for.
Is overtime calculated daily or weekly?
Both. The calculator compares hours over 8 in a day with hours over 40 in the week and uses the larger figure, so no hour is counted twice. Federal rules use the 40-hour week; states such as California also require daily overtime.
How do I calculate a biweekly timesheet?
Calculate each week on its own and add the two totals. Overtime is still measured per workweek, so a 45-hour week plus a 35-hour week contains 5 overtime hours even though the two-week total is 80 hours.
Can I enter times in 24-hour or military time?
Yes — the time fields accept 12-hour and 24-hour input, so 17:30 works and becomes 17.50 in the decimal column.
Can I export my timesheet to Excel?
Yes. Download CSV gives you one row per day with columns for hours and decimal hours, ready to open in Excel, Google Sheets or Numbers.
Can I use it as a time card calculator for several employees?
It handles one timesheet at a time. Print or download each one before clearing the week, or keep a separate copy per employee.
Does rounding to 15 minutes change my pay?
It changes the total slightly, and rounding must not consistently favour the employer. Choose exact minutes if you do not need rounding.
Is my timesheet saved if I close the page?
Your entries are stored in your own browser, so they are still there next time on the same device. Nothing is sent to a server.
